This position provides executive level administrative support to the Vice President, Business and Operations. The incumbent communicates with all departments of Torrance Memorial Health System and its affiliated entities, as well as callers from outside the organization such as physicians, attorneys, services providers, vendors and the public at large. This position may also provide support to several Director level team members and requires a high degree of tact and communication skills.

Primary Duties and Responsibilities:

  • Provides executive level support for managing calendars and schedules
  • Provides executive level support for meetings including subcommittees, physician meetings, executive meetings, and operational meetings
    • Assists in the development of agendas, presentation materials, meeting packets, minutes, preparation and follow up
  • Provides project management support
    • Develops and manages project plan documents under the direction of the project owner
    • Coordinates calendars to meet project management milestones and deadlines
  • Provides executive level support for memoranda and correspondence
  • Manages contract files
  • Maintains an organized and orderly environment
  • Conducts supervised research
  • Performs clerical and general office duties such as receiving visitors, answering and screening telephone calls, filing and opening and distributing mail
  • Provides administrative support services as needed for the administrative office


  • High School Diploma/GED required. AA highly desirable
  • Three years administrative assistant experience required; in a law firm, legal department or healthcare setting preferred
  • Excellent word processing skills
  • Proficient at developing presentation materials
  • Excellent proof reading and grammar skills
  • Strong research skills
  • Excellent organizational skills and the ability to manage multiple projects simultaneously
  • PC experience including Microsoft Outlook, Word, Excel, PowerPoint, Visio and similar software programs
  • Strong interpersonal and communication skills. Is capable of interpreting executive level communication into specific deliverables
  • Must be able to work in a fast-paced environment with rapidly changing priorities and many interruptions
  • Able to type 55 words per minute
